WEBSITE CHATBOTS & KNOWLEDGE ASSISTANTS

Useful answers.
A clear human handoff.

Plan a website assistant around approved information and the questions your customers actually ask.

1. Pick a specific purpose.

Start with a bounded task: explain your services, help visitors find a resource, or answer common questions from approved business information.

2. Prepare the knowledge base.

Organize current service descriptions, FAQs, policies, and contact details. Include only materials you are authorized to use. Remove private client records and obsolete offers.

3. Set boundaries.

Define which questions the assistant may answer, what it should say when information is missing, and when it should direct a visitor to you. An assistant should not invent a price, policy, or commitment.

Example handoff

“I don’t have enough approved information to answer that accurately. Please contact our team so we can help with your specific question.”

4. Test before launch.

  • Ask questions with clear answers in your materials.
  • Ask questions whose answers are missing.
  • Try ambiguous questions and requests outside the intended scope.
  • Check the contact path on a phone and a desktop.
  • Confirm what visitor information is collected and how it is handled.

5. Plan ongoing care.

Assign someone to update the sources when services or policies change. Agree on hosting, provider usage costs, maintenance, and support before launch. AI answers still need testing and review.

A website chatbot and a custom GPT inside ChatGPT are separate implementations. Define the scope and maintenance needs before choosing a tool.
